A starting point, not an exclusion map: some suites have meaningful direct-materials capabilities, and many manufacturers run a suite alongside a specialized sourcing system.
Procurement software is not one market; the tools buyers ask us about fall into four groups that solve different problems. Suites like Coupa, Ivalua, and SAP Ariba run source-to-pay for an entire company: requisitions, purchase orders, invoicing, supplier records, and compliance, usually connected to the ERP. Optimization specialists like Keelvar and Archlet run large, complex bid events (freight or packaging tenders with thousands of lanes or SKUs) and find award combinations a spreadsheet cannot. Tail-spend tools like Fairmarkit automate the long tail of small, non-strategic purchases so buyers never have to touch them. LightSource is a fourth kind: a direct materials operating system, the system of record for direct-materials sourcing from spec through scale, built around the ongoing question of who should make each part in your product and at what price.
The differences trace back to the unit of work each product was designed around. Suites were built around the purchase order and the requisition; optimization and tail-spend tools were built around the individual event or transaction. LightSource was built around the part: an item with revisions, drawings, a BOM position, quote history, and awarded pricing that has to be findable the next time that part is sourced. 4. Who did the supplier onboarding work, the vendor or your own staff, and how long did it take to get most suppliers active?
5. What percentage of your suppliers actually respond inside the tool rather than by email or spreadsheet?
6. How many admins or dedicated staff do you need to keep the system configured and running?
7. How did support change after go-live? Compare ticket response and escalation in month two with month fourteen.
8. Can you export all of your data (items, quotes, awards, history) in a usable format, and have you actually tested doing it?
9. How well does the tool integrate with your ERP in practice, and who builds and maintains those integrations?
Frequently asked questions
Is LightSource a Coupa or SAP Ariba replacement?
No, not in the sense of replacing procure-to-pay. LightSource has no requisitions, purchase orders, invoicing, or payments, and most customers keep their suite or ERP for those. What LightSource replaces is how direct-materials sourcing gets done, which is usually spreadsheets and email, or a suite sourcing module that was designed around indirect spend.
Do I need both a suite and LightSource?
If your company already runs Coupa, Ivalua, or Ariba for purchasing workflow, keeping it alongside LightSource is a common setup: the suite handles requisition through payment, LightSource handles source-to-contract for parts, and awarded pricing exports to the ERP through the GraphQL API or Excel. If you are a manufacturer running sourcing on spreadsheets today, you do not need a suite to adopt LightSource; it integrates with your ERP via flat files and the API.
How is LightSource priced?
As a platform fee plus seats, with implementation included and access always free for suppliers. We do not publish figures because pricing depends on team size and scope. For context, suites are typically quoted on spend under management plus modules, with a separate integrator-led implementation; third-party pricing trackers such as Vendr estimate year-one suite totals at roughly two to three and a half times the subscription once implementation is included.
How long does a LightSource implementation take?
Customers typically go live in days using flat-file imports and are running their first sourcing projects within about 30 days, often starting with a one-program proof of concept. Suite implementations are integrator-led projects usually measured in months. Whatever tool you evaluate, ask references how long implementation actually took compared with the plan.
What does LightSource not do?
There is no procure-to-pay (requisitions, POs, invoicing, payments), no contract authoring or redlining, no company-wide spend analytics (analytics are sourcing-scoped), no intake front door for general procurement requests, and no solver-based optimization of the class Keelvar offers. If those are the problems you are hiring software for, one of the other tools on this page is the better fit, and the individual comparison pages say so.
